Facilities and Client Services Assistant Manager
We are currently looking for a Facilities and Client Service Assistant Manager to join our busy team in Leatherhead. We are looking to appoint a suitable candidate at the earliest opportunity.
You will ensure that excellent facilities and client services are delivered consistently to act as the primary point of contact for clients/customers. Supervise all Building Services and Client Service provision across sites in Leatherhead and Huntingdon by acting as first point of contact for the Reception/ Concierge and Maintenance team. Working with the management team you will establish, maintain, and enhance client relationships in addition to determining opportunities to further develop our services.
Salary: £25k - £27k per annum (depending on experience)
Hours of Work: 40 hours a week, Monday to Friday 8 hours shifts a day between 8.30 and 5.45 – 1-hour unpaid lunchbreak
Contract type: Full term, fixed term (2 years)
Facilities and Client Service Assistant Manager Duties:
As first point of contact, ensure all practical steps are fulfilled; liaise and report progress to management team
Ensure Operation tasks are identified, and appropriate action(s) is/are implemented.
As first point of contact for Reception/ Concierge and the Maintenance team, supervise all provisions relating to Buildings and Client services.
Provide administrative support to the business across operations within the company.
Maintain high office and building standards through carrying out checks and reporting building defects affecting the security, Health and Safety and general running of Halcyon Sites.
Management of service delivery on site to the required standards to maintain contractual performance against SLA’s.
Full involvement in ensuring compliance with all Health and Safety requirements.
Analysis of data and report creation.
Compliance with GDPR, AML, KYC and other statutory requirements.
Follow up on maintenance work schedule and confirm work schedule/work achieved is accurately logged.
Track, review, log and report all technical and building faults, maintaining records to comply with relevant legislation.
Following instruction from the management team, act when required in response to Business continuity and Disaster recovery:
Maintain data in information systems or databases, including risk assessments, business impact analyses, strategy selection, and documentation of business continuity and disaster recovery procedures
Act as a coordinator for continuity efforts after a disruption event.
Ensure all processes relating to client services are adhered to and develop a strong ethos of client service throughout the team:
Act as key point of contact for prospective, existing clients and visitors to the building, providing a professional and friendly service as well as delivering an exceptional first impression.
Liaise with existing clients and colleagues regarding renewals; provide support as required.
Have a thorough understanding of all our products, services, and amenities to ensure we delivery service in an exceptional and timely manner.
Provide full information for prospective clients seeking information, assistance, or guidance, for either office or virtual office.
Check offices are prepared and ready within correct timelines for new clients and office moves.
Retain, renew, and continually develop relationships with existing clients.
Provide all reception / concierge duties including greeting clients and visitors, conducting viewings for prospective new clients, call and post handling, monitoring door entry and CRM systems.
Facilities and Client Service Assistant Manager Requirements:
Excellent communication skills
Experience in delivering excellent client service
Ability to work independently and collaboratively within a team
Ability to problem solve and think on your feet as problems arise
Highly organised with good written/verbal communication and organisation skills
Flexible and motivated, able to multi-task and deliver to a consistently high standard through a practical hands-on approach.
Supervising or managing a team
Managing client accounts from Point of Sale
Experience working within the field of facilities management or a similar role, with an IWFM diploma level 3 or equivalent.
Experience of project management would be beneficial
